Find Your IMAP Settings
Your email provider is the service that hosts your mailbox. Outlook, Apple Mail, and the Gmail mobile app can display mail hosted by other companies, so the app you use to read mail does not necessarily identify the provider.
For a company address such as [email protected], ask your IT administrator who hosts your email. A custom domain can use Google Workspace, Microsoft 365, or another service; do not guess an IMAP hostname from the domain.
Get the details from your provider
Look in your provider's official help or webmail settings for IMAP, incoming mail server, or set up another email client. You need:
- The incoming IMAP hostname and port.
- Whether the connection uses SSL/TLS.
- The login username and whether your account allows app passwords.
- Whether IMAP must be enabled by you or an administrator.
- The exact IMAP folder containing your bank alerts, usually
INBOX.
SMTP settings are for sending mail and POP settings are for a different way of retrieving mail. Neither belongs in the Transactions IMAP host field.
The current form uses your Email address as the login username and has no separate username field. If your provider requires a different username or OAuth sign-in, ask your administrator or Transactions support about compatibility before connecting.
Popular provider settings
Use the linked guide for password instructions and account restrictions. All entries below use port 993 with Use TLS on.
| Provider | IMAP host | Before connecting |
|---|---|---|
| Gmail / Google Workspace | imap.gmail.com | Generate a Google app password; Workspace policies may restrict access. |
| Yahoo Mail | imap.mail.yahoo.com | Generate a Yahoo app password. |
| iCloud Mail | imap.mail.me.com | Generate an Apple app-specific password; see the username limitation. |
| Outlook.com / Microsoft 365 | outlook.office365.com | Requires OAuth; the current Transactions form cannot connect these hosted mailboxes. |
Choose a folder
Start with INBOX if your bank alerts stay in your inbox. If mail rules archive or move them, find the destination's exact IMAP folder name in your provider's settings or an existing mail client's account settings. A display category or a translated folder label may not be the IMAP folder name.
The form accepts one folder. Confirm that the chosen folder contains the alerts you want before connecting. To change it later, disconnect and reconnect the mailbox with the new folder; existing parsed emails are kept.
Troubleshoot a connection
| Problem | What to check |
|---|---|
| Authentication failed / Auth failed | Verify the full mailbox address and app password. Check provider restrictions and whether the password was revoked. Your usual sign-in password or passkey may not work. |
| Host could not be resolved | Copy the incoming IMAP hostname from official provider settings. Remove https://, spaces, or a pasted port suffix. |
| Connection refused or timed out / Connection failed | Check the host and port. For the providers above, use 993 with TLS on. If settings are correct, ask whether the provider restricts external IMAP access. |
| TLS/SSL error | Confirm TLS is on for port 993 and the hostname is correct. If it persists, report the error to support. |
| Folder could not be opened | Try INBOX, or confirm the exact folder name and that it is available over IMAP. |
| Address already connected | Find the existing connection in this organization's mailbox list. Use Poll now, or disconnect it before replacing its credentials. |
| Connected but no transactions | Check the folder, import dates, and whether it contains supported bank/payment alerts. Use Fetch dates for older messages or a busy period missed by polling. |
If a saved connection needs a new app password, generate one at the provider, disconnect the old connection in Transactions, and connect it again. The mailbox's Settings button only changes polling frequency and email limit.
If you need help, share the provider name, hostname, port, folder, and error text with support. Keep app passwords and API secrets out of the message.
