Gmail and Google Workspace
Use this guide for a personal Gmail mailbox or a company mailbox hosted by Google Workspace. Transactions currently connects using an app password.
1. Turn on 2-Step Verification
- Open your Google Account and confirm you are signed into the mailbox receiving your bank alerts.
- Open Security & sign-in (sometimes labeled Security), then 2-Step Verification.
- Follow Google's prompts to enable it and complete verification.
2. Create an app password
- Open App passwords. Sign in again if asked.
- Enter a recognizable app name, such as
FinOpsBricks Transactions, and create the password. - Copy the generated 16-character password. If displayed in groups, remove the separating spaces when entering it in Transactions.
If the option is missing, verify that 2-Step Verification is enabled and you chose the correct Google account. App passwords may be unavailable for organization accounts, accounts using only security keys for 2-Step Verification, or accounts enrolled in Advanced Protection. Ask your Workspace administrator about allowed access. These requirements and restrictions are described in Google's app-password help.
3. Check IMAP access
Personal Gmail has IMAP enabled automatically; there is no longer an Enable IMAP switch to find. See Google's Gmail client guidance.
For Google Workspace, ask your administrator to confirm that IMAP and app passwords are allowed for your account. See Google's Workspace setup guide.
4. Fill in the mailbox form
In Transactions, open Settings → Mailboxes → Connect mailbox:
| Field | Value |
|---|---|
| Provider | Gmail |
| Email address | Your full Gmail or Workspace mailbox address |
| IMAP host | imap.gmail.com |
| Port | 993 |
| App password | The Google app password you just generated |
| Folder | INBOX, if that is where the alerts are |
| Use TLS | On |
These incoming server settings are documented in Google's Workspace email client guide. The same host serves personal Gmail.
Leave the polling defaults initially, then select Connect mailbox. Continue with checking your first import.
If Gmail will not connect
Check for a mistyped email address, spaces in the app password, or use of your normal password. If you changed your Google Account password, Google revokes existing app passwords; generate a replacement and reconnect the mailbox. You can also remove an unused password from the App passwords page. See Google's password lifecycle guidance.
If your organization requires Google OAuth and disallows app passwords, this form cannot connect the account. Contact your administrator or Transactions support about an approved option.
If the connection succeeds but alerts are missing, check whether Gmail rules have archived them outside INBOX, then follow folder troubleshooting.
